The five steps:

  5. Sustain: Maintain discipline through regular practice

The 5S method is a structured approach to workplace organization that originated in lean manufacturing and is now widely used across industries, including offices, healthcare, logistics, and services. Its main objective is to create a work environment that is efficient, safe, and easy to manage.

At its core, 5S is not just about cleanliness. It is a discipline that improves productivity, reduces waste, and supports consistent performance by shaping daily habits and standards.

Sort

The first step focuses on separating what is necessary from what is not. Unused tools, excess materials, outdated documents, and unnecessary items are removed from the workplace. This reduces clutter, frees up space, and eliminates distractions that slow down work.

Set in Order

Once only the necessary items remain, everything is assigned a clear and logical place. Tools, documents, and materials are organized so they are easy to locate, use, and return. The goal is to minimize time spent searching and to make abnormalities immediately visible.

Shine

This step emphasizes regular cleaning and inspection. A clean workplace is easier to manage and makes problems such as leaks, wear, or damage easier to detect. Cleaning is treated as part of the work process, not as a separate task.

Standardize

Standardization ensures that the first three steps are applied consistently. Clear rules, visual guides, checklists, and routines are defined so everyone follows the same practices. This prevents gradual decline and ensures stability over time.

Sustain

The final step focuses on discipline and continuity. Training, audits, and leadership involvement help turn 5S into a habit rather than a one-time initiative. Without sustainment, earlier gains quickly disappear.
